We are seeking a dynamic and highly motivated Administrative Assistant to join our innovative Swiss startup. The ideal candidate will play a pivotal role in ensuring the smooth operation of the executive team, assisting with administrative tasks, managing executive communications, and supporting the company’s strategic initiatives. - Efficiently organize and coordinate meetings, conferences, and travel arrangements for the executive team.
- Attend meetings, capture accurate minutes, and ensure timely distribution of meeting notes and action items.
- Arrange and confirm appointments, effectively managing calendars to optimize schedules.
- Handle incoming mail and phone calls with professionalism and promptness.
- Set up and maintain a well-organized document archiving system for easy access to essential files.
- Manage diverse administrative tasks, including processing payrolls, salary certificates, and maintaining employee records.
- Oversee invoices, office/lab supplies, and manage communications with accountants and external parties.
- Act as a trusted liaison between the executive team and internal/external stakeholders, demonstrating professionalism and discretion in all interactions.
- Monitor and periodically review the budget, providing insights and updates to support informed decision-making.
- Assist in preparing presentations, reports, and other materials for internal and external communication.
Qualifications & Experience
- Bachelor’s degree in Business Administration, Management, or similar.
- Proven experience (3+ years) in a similar executive support role, preferably in a fast-paced startup environment.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong communication skills, both written and verbal, in English and French, with German and/or Italian being a plus.
- Proficiency in MS Office Suite and other relevant software applications.
- Demonstrated ability to work independently, exercise sound judgment, and make decisions in a fast-paced environment.
- Adaptability and a proactive approach to problem-solving.
- Strong attention to detail, accuracy, discretion, and confidentiality.
